The Big Idea

CLIENTFLOW connects everything to your clients. Add a client once, and every project, invoice, proposal, and conversation you log for them shows up automatically on their profile — no manual tallying.

Step 1: Move Your Current Clients In

Go to Clients, delete or edit the 3 sample clients, and add your real ones. Set their Status (Active, Prospect, Paused, Past) as you go.

Step 2: Log Leads As They Come In

When a new inquiry comes in, add it to Leads Pipeline first — not directly to Clients. Move it through the stages (New Inquiry → Discovery Call → Proposal Sent → Negotiating → Won/Lost). Once you win a lead, create their real entry in Clients.

Step 3: Create a Project for Each Engagement

In Projects, add one entry per project or retainer, and link it to the right client. This is what lets you see active work per client at a glance.

Step 4: Invoice Through the System, Not Around It

Every time you invoice a client, add it to Invoices linked to that client (and project, if relevant). This is what powers the automatic "Total Invoiced" number you'll see on each client's profile — skip this step and that number won't be accurate.

Step 5: Log Calls and Emails As You Go, Not After

Add a quick entry to Communication Log right after a call or important email — a one-line summary is enough. This is what saves you from re-reading old email threads before your next call with someone.

Step 6: Use Onboarding & Offboarding As Literal Checklists
